We are seeking a detail-oriented, high-energy Transaction Coordinator to manage our real estate files from contract to close. You will be the "air traffic controller" for our deals, ensuring every disclosure is signed, every county inspection is ordered, and every escrow stays exactly on schedule.
The ideal candidate has a deep understanding of the MLS, is a DocuSign power user, and takes pride in a perfectly organized file.
Key Responsibilities
Contract & Disclosure Management
Document Preparation: Draft and prepare Purchase Agreements and Listing Agreements with 100% accuracy.
Disclosure Oversight: Assemble and distribute state and locally mandated Disclosure Packages.
DocuSign Administration: Manage the end-to-end digital signature process, ensuring all parties sign in the correct order and all initials are captured.
Broker Compliance: Audit all files to ensure they are "broker-ready" and fully compliant with state regulations before the closing date.
Escrow & Timeline Coordination
Timeline Management: Maintain the master escrow calendar and aggressively track critical deadlines (EMD, Inspection Periods, Contingency Removals).
Closing Preparation: Research and pull all county-specific inspections, point-of-sale requirements, and municipal certifications required prior to the Close of Escrow (COE).
Communication: Act as the main point of contact for escrow officers, lenders, and cooperating agents to keep the transaction moving forward.
Research & Analysis
Market Analysis: Run accurate property comparables (comps) using the MLS to support valuation and offer strategies.
Property Research: Pull county-specific probate information and verify property ownership/liens through public records.
Technical Requirements
MLS Proficiency: Must have a thorough understanding of the Multiple Listing Service (MLS) and be able to navigate and prepare documents within the platform.
DocuSign Expertise: Must be proficient in setting up complex envelopes and managing digital signature workflows.
Zoom: Must be available for all team meetings and provide detailed, actionable meeting minutes.
Performance Expectations
Punctuality: You must be on time and available during core business hours for agent and escrow communication.
Attention to Detail: Zero-tolerance for missing signatures or missed contractual deadlines.
90-Day Mastery: We expect full mastery of our specific workflows and software stack within the first three months.
