Neighbourhood Plumbing is a fast-growing, Melbourne based plumbing and trade services company. We are seeking an experienced Admin, CRM, Accounting & Scheduling Coordinator to join our remote operations team in the Philippines.
This is a long term, full time, remote position for someone who is highly organised, detail-oriented, and confident working in a fast paced service environment.
You must have real experience with ServiceTitan or similar trade job management systems, plus strong skills in administration, accounting support, payroll preparation, scheduling, and customer service.
What You Will Do Daily Responsibilities
CRM & ServiceTitan Management
Update job notes, materials, equipment, and workflow stages for 100+ active jobs.
Maintain the ServiceTitan price book (materials, labor, equipment, supplier pricing).
Cross-check supplier invoices with job notes and purchase orders.
Upload photos, videos, CCTV reports, and compliance documents to each job.
Ensure all CRM data is accurate, complete, and audit-ready.
Scheduling & Dispatch
Schedule plumbing and leak detection jobs for field technicians.
Manage real-time dispatch, rescheduling, and technician allocation.
Prepare job details, materials, and equipment requirements for each booking.
Communicate with customers to confirm and provide updates.
Accounting, Payroll & EOM Admin
Prepare technician hours for payroll timesheets, overtime, RDOs, and corrections.
Assist with accounts receivable: invoice follow-up, payment reminders, and allocation.
Assist with accounts payable: entering supplier invoices, matching to jobs/POs.
Perform end-of-month job closeouts, outstanding invoices review, and reporting.
Customer Service & Complaints
Respond to customer emails and calls professionally.
Handle and track complaints through to resolution.
Maintain communication records across jobs and departments.
Fleet & Operations Support
Monitor vehicle tracking systems, maintenance logs, rego dates, and updates.
Coordinate with technicians regarding fleet issues, equipment, and compliance.
Requirements (Must Have)
Experience using ServiceTitan, OR Aroflo, Simpro, ServiceM8, Jobber, Tradify, or other trade CRMs.
Strong experience in admin, dispatch, or scheduling for a trade or service company.
Experience with accounting support, AP/AR, payroll preparation, timesheets, and reconciliation.
Excellent English (written & verbal).
Strong attention to detail and data accuracy.
Ability to manage high job volume and work under pressure.
Fast learner, tech savvy, highly organised, and reliable.
Experience working with Australian, UK, or US clients is an advantage.
Work Hours
Monday to Friday
Aligned to Melbourne, Australia time (AEST/AEDT)
Occasional weekend/after-hours support during peak periods
Salary
Competitive monthly salary in USD
