We're looking for a sharp, reliable, emotionally intelligent assistant to support the behind-the-scenes operations of 🎙 Clean Your Toilet Podcast (CYT) — raw, real conversations crafted to spark meaningful social change starting from within. Our mission is to help people break free from conditioning, pursue what's authentic, and live with purpose. Through our guests' stories, we distill insights that guide others on their paths.
You'll be helping steward conversations and containers that move people from research and coordination to execution and follow-up.

Your Role
You'll support the media producer in keeping operations smooth, timelines tight, and communication clear.
Key Responsibilities
1. Podcast Operations
Research potential guests for upcoming podcast seasons and handle outreach with professionalism and warmth.
Coordinate podcast guest pre-meetings and recordings
Coordinate podcast guest schedules by checking both studio availability and guest availability.
Receive pre-edited video/audio files from the studio and ensure editors/processors receive them promptly.
Track the post-production workflow: editing, finalizing, and launching episodes.
Draft episode and reel descriptions, schedule on social media platforms to promote each episode & season.
Maintain episode timelines, reminders, and launch checklists to ensure nothing falls through the cracks.
2. Scheduling & Calendar Management
Schedule podcast events and workshops
Send reminders, confirmations, and follow-ups.
Ensure no conflicts in calendars and anticipate scheduling needs.
3. Guest & Participant Communications
Draft and send professional outreach emails to podcast guests and workshop participants.
Answer questions, provide logistics, and maintain a smooth onboarding experience for guests and participants.
4. Event & Workshop Operations
Manage registration spreadsheets and track participant payments.
Coordinate venue or online booking, including setup and logistics.
Order refreshments or supplies as needed.
Prepare Zoom links, reminder emails, and simple run sheets for events.
Support the live/online event flow, including on-the-day coordination.
Take photos and videos during events for documentation and promotion.
Collect post-event feedback through surveys and handle follow-ups with participants.
5. Systems & Organisation
Maintain clean, organised folders and documentation
Create simple SOPs as we grow
Suggest workflow improvements when you spot them
