A remote role to provide administrative, operational, and marketing support for a renovation/construction business (residential or commercial). You will handle day-to-day coordination of renovation projects while also assisting with basic bookkeeping, client communication, sales follow-up, invoicing, and occasional social media tasks.
Renovation Project Coordination
Act as the main point of contact between clients, contractors, subcontractors, suppliers, and the business owner.
Schedule and confirm appointments, site visits, deliveries, and inspections.
Create and maintain project timelines, checklists, and Google Sheets/Asana/Trello boards.
Track project progress and send weekly status updates to clients and the owner.
Source materials and request quotes from suppliers when needed.
Prepare and send client change-order requests and get approvals.
Organize permits, drawings, photos, and documents in cloud folders (Google Drive/Dropbox).
Follow up on outstanding contractor/subcontractor tasks and payments.
Invoicing & Accounting
Create professional invoices (using QuickBooks, Xero, Wave, or templates in Canva/Word).
Send invoices to clients and follow up on overdue payments Record payments received and update the owner’s bookkeeping spreadsheet or software.
Process subcontractor/supplier invoices for owner approval and schedule payments.
Track project expenses and create simple profit/loss summaries per job.
Prepare deposit summaries and expense reports when requested.
Client Liaison & Sales Support
Respond to new leads via email, WhatsApp, Instagram DMs, or website forms
Qualify leads, book discovery calls/consultations for the owner.
Send proposals, mood boards, or quotes prepared by the owner.
Follow up with past clients for reviews, referrals, or upsell additional services.
Maintain CRM (Google Sheets, HubSpot free, or similar) with client notes and history.
Social Media & Marketing
Create and schedule 9–12 posts per month (before/after photos, reels of progress, tips, testimonials) on Instagram and Facebook.
Write simple captions and choose hashtags.
Reply to comments and DMs on social media (forward serious inquiries to the owner).
Take or edit phone photos sent by the team and turn them into presentable content (Canva).
Update Google Business Profile with new photos and respond to reviews.
