Job Title: Executive Accountant for an Electrical / Integration Contracting Company

*Location: Fully Remote

*Hours/ Schedule: Must be able to work 8-10 hours starting at 5 am or 7 am Pacific Standard Time Zone; 5 days a week.

*Reports To: CEO / Ownership

*Role Level: Executive – Full Financial Accountability for all financial motions of funds in and out of the company. (VERY IMPORTANT ROLE)

*Position Overview:

The Executive Accountant will serve as the financial backbone of the company, responsible for the accuracy, integrity, and strategic analysis of all financial data. You will manage the transition of data from our sales and project management tools into our accounting systems, ensuring that every wire pulled and every hour logged is accounted for and profitable. This is not just a bookkeeping role; it is a leadership position that requires high-level financial oversight, process optimization, and strategic forecasting.

*Key Responsibilities & Tasks:

-1. Financial Governance & Executive Reporting:

Full-Cycle Accounting: Manage all accounts payable, accounts receivable, general ledger maintenance, and monthly/year-end closings.

Financial Statements: Prepare and present monthly P&L, Balance Sheets, and Cash Flow statements to the executive team.

Budgeting & Forecasting: Develop annual budgets and maintain rolling 12-month cash flow forecasts to guide company growth.

Audit & Tax Prep: Coordinate with external CPA firms for year-end tax preparation, R&D tax credits, and any external audits.

-2. Project Accounting & Job Costing (Industry Specific)

WIP Reporting: Maintain Work-In-Progress reports to track over/under billings on all active electrical and integration projects for actively moving and shifting job costing.

Job Profitability Analysis: Analyze "Estimated vs. Actual" costs for labor and materials to identify margin slippage.

AIA Billing & Progress Invoicing: Oversee complex billing cycles, including percentage-of-completion billing and retention tracking.

Lien Waivers & COIs: Manage the collection and distribution of lien waivers and ensure all subcontractors have active Certificates of Insurance (COI).

-3. Systems Integration & Tech Stack Management

Documentation: Must be able to build documentation as tasks are completed, so that an ongoing building of systems for their role is being developed as they're completing tasks inside their role, so that in the future they may delegate to additional team members to support their role.

Data Integrity: Ensure seamless data flow between

(quoting/proposals), Zoho/Go High Level (CRM), and QuickBooks.

Payment Oversight: Manage the Stripe merchant integration to ensure collections are reconciled daily, and fees are tracked.

Process Automation: Use Trello and Google Business Suite to automate financial workflows and approval processes.

Payroll & HR: Execute payroll via Gusto, ensuring proper allocation of labor costs to specific jobs/projects.

-4. Cash Flow & Revenue Operations:

Collections: Monitor Aging AR and lead the collection process for overdue accounts.

Merchant Management: Reconcile Stripe deposits and manage any disputes or chargebacks.

-Required Skills & Technical Proficiency:

Software Expertise (The "Tech Stack" Requirement):

Accounting: Advanced Mastery of QuickBooks (Online or Desktop).

Sales/CRM: Experience navigating Zoho and Go High Level for financial data extraction amoungst many other tools.

Communication/Ops: Advanced use of Trello (for task management), Discord/Google Chat (for internal comms), and the entire Google Business Suite (specifically advanced Google Sheets for financial modeling).

Payroll: Experience with Gusto or similar cloud-based payroll/benefits platforms.

-Core Accounting Skills:

Deep understanding of Revenue Recognition for long-term contracts.

Expertise in Job Costing within the construction or integration trades.

Ability to manage Sales Tax Nexus across different jurisdictions (if applicable).

High level of "Financial Forensic" ability—finding discrepancies across multiple software platforms.

-Experience & Education
Education: Bachelor’s Degree in Accounting or Finance (CPA or CMA preferred but not required for the right candidate).

Experience: 7+ years of accounting experience, with at least 3 years in a leadership role (Controller, Finance Manager, or Senior Accountant).

Industry Experience: Prior experience in Electrical Contracting, HVAC, AV/Integration, or General Construction is strictly required. You must understand how field labor and material procurement impact the bottom line.
